Job Overview
The Returns Coordinator is accountable for recorded information and facilitates the processing of merchandise returned to the manufacturer because of defects, damage, customer errors, stock rotations, or for repairs/modifications and requires knowledge of CRM/ERP system utilization for return material processing and inventory control.
Essential Duties And Responsibilities
Receive returned materials, examine and compare merchandise with SDC product and production standards and records information such as product type, item numbers, quantity, type of return, device condition, package condition and date.
Identify and distribute materials to the appropriate SDC production department for inspection to be evaluated, repaired, modified, replaced, returned or restocked.
Facilitate and expedite timing and process of each returned product remains within SDC production departments.
When necessary subject to facilitate and expedite the timeframe and process of each returned product may remain within SDC’s engineering department for further evaluations.
Responsible for contacting customers with any issues or concerns, including status updates, repair charges, address verifications, purchase order numbers, etc. Required at a minimum to notify the customer of inspection results and actions taken by SDC for the returned product.
Complete all inventory adjustments through the assigned RMA# record and/or MTS ticket transactions. Inform appropriate departments of transactions as necessary.
Forward Sales Orders with the appropriate documentation to order entry for replacement and returned products being sent to the customer.
Forward Credit Memos to accounting with the appropriate documents for credit being issued to the customer.
Obtain return labels, create purchase orders/sales orders, and forward to accounting as required for material being returned to Vendor for credit or replacement.
Generate appropriate transactions from receipt of material to final disposition, document all findings and correspondence with details to the assigned RMA# record.
Maintain RMA Record database in CRM/ERP system (i.e. Notify and close expired authorizations, update contact records, etc)
Establish, maintain rapport and expand relationships with Returns Managers and Departments of SDC’s distribution partners
Prepare and maintain monthly/quarterly/annual RMA reports, analysis, graphs and any other relevant data to be presented to SDC management on a monthly/quarterly basis.
Assist customer service with inputting RMA Authorizations and authorizing RMA Requests as needed low priority
The RMA Manager and SDC Management may assign additional duties and responsibilities as needed.
Language Skills
Excellent communication skills with ability to express verbally with clarity in English in person/face to face or telecommunications basis
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, product manuals and corporate sales policies.
Qualifications
Attention to detail, ability to multi-task and customer service oriented.
Proficiency in inventory management
Efficient with MS Office Suite and CRM/ERP software
Education & Experience
One year certificate from college or technical school.
2+ years of customer service experience, or related experience and/or training.
1+ years of inventory management experience, or related experience and/or training.
Reasoning Abilities
Proficient ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
Proficient ability to deal with problems involving several concrete variables in standardized situations.
Mastery ability to add, subtract, multiply and divide in all units of measure, using whole number, common fractions and decimals.
